By booking a tour with Sap Adventures, you accept all of our terms and conditions.

Reservations with SAP Adventures:

To make a reservation with SAP, you must submit all of the current passport information asked at the time of booking

.After obtaining payment confirmation, we will check availability and get permits.

Only after getting formal confirmation from Sap Adventures will your tour be fully confirmed.

To book a tour with Sap Adventures, simply pay a deposit. The fee varies based on the type of tour and the date of booking. 

*Classic Inca Trail: For all programs that include 2- and 4-day Inca Trails, an upfront payment of $250 USD per person is required.

*Alternative treks to Machu Picchu: All treks that do not involve the Inca Trail require an upfront payment of $200 USD per participant.

*Tours to Machu Picchu by train: lasting one, two, or more days need a deposit of $250 USD per person.

*A full-day tour to Machu Picchu deluxe: requires an upfront payment of $200 USD.

*For tour packages: ranging from $200 to $800 USD, go to the relevant tour page to find out how much deposit is necessary.

The first payment is calculated depending on the costs of booking your excursions, such as Inca Trail permits, Machu Picchu tickets, train tickets, and accommodations.

The particular amount of deposit necessary is shown on each tour package and is non-refundable; however, if you are unable to go due to travel constraints, you will be allowed to move your original payment to a future date at no cost. Date modifications or cancellations must be submitted without charge up to 48 hours before the tour’s departure date.

EASY PAYMENT:

You may pay Sap Adventures using any credit card or bank transfer. Wetravel provides secure and dependable online payment processing. Alternatively, email us and we’ll send you a bespoke URL.

REMAINING BALANCE:

The remaining payment can be paid in cash upon arrival in Cusco, however it must be paid at least 36 hours before your tour departure. If you are unable to arrive in Cusco early enough, please tell our sales staff so that we may make the appropriate preparations. You can pay the remaining sum in cash at our office using Peruvian Soles, Dollars (or a combination of your own money; ripped bills are not accepted), or by credit card (5.5% charge applies).

Cancellations and Returns:

Unfortunately, all initial deposits are non-refundable because we require the funds to book all permits, tickets, accommodations, and trains. However, you may take advantage of our lifetime deposit guarantee. This means that if you cancel your tour up to 72 hours before the departure date due to travel restrictions caused by Covid 19 or other similar force majeure events directly affecting the tour, you will not lose your deposit, which you can use to book future tours with Sap Adventures.

  • To take advantage of our lifetime deposit guarantee, you must cancel the tour at least 72 hours before departure. This only applies to travel restrictions or force majeure situations impacting the tour.
  • You will have the option of paying in whole at the time of booking, in installments, or with flexible payment plans. If you cancel any of our excursions before 72 hours, we will reimburse your whole payment minus the deposit.
  • The usage of this website is subject to Peruvian legislation.

  • If you book less than 72 hours before travel, you must pay the whole amount.
  • If you cancel during the tour and are unable to continue, you must pay 100% of the total amount.
  • Refunds will only be issued to the original credit card or account used to make the reservation.
  • Rainbow Mountain, Humantay Lake, Sacred Valley, Maras Moray, and other non-Machu Picchu day trips and hikes are totally refundable until 72 hours before departure.

FORCE MAJEURE EVENTS:

A force majeure event is an unforeseen or unplanned incident that precludes someone from fulfilling a contract. In the context of Machu Picchu, a force majeure event might be a natural calamity that ruins or renders the site inaccessible. If such a situation occurs, Sap Adventures, the business in charge of running Machu Picchu, will not be liable for any resulting damages.
This includes war or threats of war, riots, strikes, terrorism, sickness, natural catastrophes, inclement weather, fires, and other disasters. Sap Adventures retains the right to modify, postpone, or cancel trips (cancellation is often the last resort; we normally provide an alternative).

PASSPORTS AND VISAS:

Travelers are responsible for making sure they have proper visas and passports. Passports must be valid for at least six months after the trip date. Sap Adventures is not liable for any passport complications; Travelers must verify visa requirements and travel with a valid passport.

CHILDREN:

All youngsters under the age of 18 must be accompanied by an adult. Discounts may apply to minors under the age of 17. Please notify us before or at the time of booking if you are traveling with children in order to obtain discounts. If you have already paid for your reservation as an adult and then want a last-minute discount for students/children, this will not be available.

PRICES:

Our tour fees are per person and assume two persons share a hotel or tent. If you need a personal room or tent while camping, there may be an extra price.

Hotel Accommodation:

All rooms are regular doubles (two single beds), with private bathrooms. We may provide accommodations with a double or triple bed upon request. Hotel improvements are available. Please notify us in advance of any unique needs or requests so that we may make arrangements for you. A single room comes at an extra fee.

About the camps on the Inca Trail

Please bear in mind that we have no authority over the camps allocated to us by the National Institute of Culture. In general, your camp assignment is determined by how early you book, or more specifically, the number of permits available. Typically, the first 200 spots are reserved for Winay Wayna (3rd camp), and you will have a lengthier climb to Machupicchu on the last day, which may mean you may not arrive in time for sunrise. Don’t be disappointed; Machupicchu is amazing in its own right!

GROUP SIZES:

To see Machupicchu, the maximum number of tourists in the party is ten with one tour guide; if there are eleven or more, we will assign another tour guide.
The standard Inca route allows a maximum party size of 16 individuals. We require a minimum of two travelers to leave. We can accommodate any party size requested by the customer for private trips. If you’re going with a large party, please contact us for a special rate.

TIPS:

Tipping is not required, although it is greatly appreciated and considered customary practice in Peru’s tourism business. Guides and porters work hard to ensure hikers have a safe and happy experience, which is why many visitors opt to express their gratitude with a tip at the conclusion of the journey.

DURING THE TOUR:

Return train tickets from Machu Picchu are subject to availability. After the trip, the time you get back at your accommodation is determined upon train availability. Sap Adventures maintains the right to schedule the most convenient trains for the group. If you must take certain trains earlier or later, please notify us by email in advance; additional costs may apply for last-minute modifications.

During the tour, you must closely adhere to the directions of the tour guides. All of the Inca ruins and locations we visit have restrictions that must be observed. If you have any concerns with the tours, please contact your guide or the office staff to rectify them.

If you are unable to continue your trip due to illness or accident, we will assist you in returning to the nearest medical facility or hotel. You must pay for transportation and medical expenditures. However, we will supply you with a certificate that you may use with your insurance carrier. Travel insurance is not required, however we recommend getting it for your trip.

Sap Adventures maintains the right to cancel, alter, or reschedule tours in the event of inclement weather, calamities, strikes, or injuries during the trip. In this instance, the regular terms and conditions will apply.

Our group trips start with two persons and may accommodate up to 16 people with two tour operators. Group tours are available to everyone. By buying a group trip, you accept to travel with other people of all ages, nationalities, and speeds. Tours may be cancelled if a minimum of two people are not present.

All of our tour guides speak excellent English; the native languages are Quechua and Spanish. All of our trips are in English and Spanish, unless specific requests in other languages are made in advance and verified via email.

ASSUMPTION OF RISK:

Participating in an adventure, such as the tours we provide, may expose you to the danger of disease or damage caused by natural forces, accidents involving land, river, or air transportation, or vehicles that include animals, insects, and vegetation into the program’s growth. By booking your trip, you recognize the risks and agree to participate willingly.

RESPONSIBILITY:

Sap Adventures’ obligation to customers is limited to the amount of money paid by the individual to Sap Adventures. Sap Adventures is not liable for any direct or indirect loss or damage experienced by the Guest, save as clearly stated in these Terms.

APPLICABLE LAW:

The laws of Peru shall govern the use of this website, and Sap Adventures customers agree to submit to the jurisdiction of Peru’s courts for any dispute arising from these Terms.

The original payment for Inca Trail and Machu Picchu tickets is non-refundable and non-transferable; however, if force majeure or travel limitations prohibit you from going, you may transfer your deposit to a future date at no additional cost. Date modifications or cancellations must be submitted without charge up to 48 hours before the tour’s departure date.

It is crucial to remember that this benefit only applies if travel restrictions caused by the pandemic or other comparable circumstances prohibit you from visiting Peru.

Returns or Rescheduled One-Day Tours in Cusco:

For scheduled one-day trips, such as Humantay Lake, Colored Mountain, Maras Moray, Sacred Valley, city tours, or any other tour that does not include Machu Picchu, you can cancel and receive a full refund up to 48 hours before the start date of the service.

Our flexibility policy allows you to cancel and modify the departure dates of planned tours at any point in the future at no additional charge. Although initial payments are non-refundable, you may reschedule your trip dates or transfer this credit to a friend or family member if travel limitations apply. This manner, SAP ensures that you do not lose your money.
