By booking with Sap Adventures, you fully accept the following Terms and Conditions. Please read them carefully before confirming your reservation.
All tour descriptions, itineraries, services, accommodation, transportation, and schedules are based on the most accurate information available at the time of quotation.
Prices or details may be adjusted due to changes in official fees, taxes, permits, fuel, or operational costs.
Special requests for personalized itineraries or services outside of standard packages will be quoted separately, including all applicable fees.
A reservation is confirmed only once you submit the required personal information (e.g. passport copy) and the corresponding deposit.
Written confirmation from Sap Adventures is required for your booking to be valid.
Deposit amounts vary depending on the service (Inca Trail, alternative treks, Machu Picchu tickets, full packages, etc.).
All deposits are non-refundable, unless otherwise stated under “force majeure” (see Section 3).
The passport used for booking must be the same one presented at the entrance to Machu Picchu or the Inca Trail.
If you’ve renewed your passport, you must bring both the old and new versions.
Student discounts are only valid with a government-approved University Card with an expiration date matching the year of travel. No other ID is accepted.
The balance must be paid prior to the tour start date (timing will be indicated in your confirmation).
Payment methods: credit/debit card, bank transfer, or cash.
Card payments may incur fees (Visa 6%, PayPal 5.5%).
Deposits are non-refundable.
If cancellation is made:
Within 72 hours of departure: 80% of total is due.
Within 48 hours of departure: 90% of total is due.
Within 24 hours of departure: 100% is due.
Inca Trail permits and Machu Picchu tickets are non-refundable and non-transferable, as per Peruvian law.
Changes of date are not allowed once issued.
Events such as strikes, natural disasters, pandemics, government closures, or extreme weather may result in flexible alternatives.
In such cases, Sap Adventures will offer date rescheduling or apply your deposit as a credit.
No refunds are given once the tour has started.
In case of illness or emergency, reasonable support will be provided—but all additional costs (medical, transport, etc.) are the traveler’s responsibility.
Travelers are responsible for holding valid passports (with at least 6 months of validity), visas, and required permits.
Sap Adventures is not responsible for issues caused by incomplete or invalid documentation.
We strongly recommend insurance that covers illness, accidents, evacuation, and repatriation.
Any pre-existing medical conditions, allergies, or special needs must be disclosed during booking.
Travelers over 70 years old must present a valid medical certificate.
Pregnancies over 24 weeks may not be accepted for safety reasons.
Travelers must follow the guide’s instructions at all times for safety and respect of cultural or environmental norms.
Any damage caused by negligence or misconduct is the traveler’s full responsibility.
Sap Adventures will follow the planned itinerary, but reserves the right to modify it in case of weather conditions, closures, emergencies, or safety concerns.
All changes will be communicated with the group and suitable alternatives will be offered.
Standard lodging will be provided unless an upgrade was requested.
Transport services aim to prioritize safety and comfort, within logistical limits.
In case of illness or accident, we will assist you to the nearest point of medical support.
Medical expenses, emergency evacuations (including helicopters), and related services are at your own cost.
We can issue a medical report for your travel insurance claim.
We guarantee professional delivery of contracted services in compliance with Peruvian law, using licensed local providers.
We reserve the right to cancel or modify services for safety, legal, or operational reasons.
Refunds, credits, or rescheduling will be provided depending on the case.
Our liability is limited to the amount paid for the specific service.
We are not responsible for delays, third-party actions, force majeure, or events beyond our control.
Travelers under 18 must be accompanied by an adult.
Child discounts are available only if requested during the booking process.
Some tours require a minimum of 2 participants to operate.
Group tours may include up to 16 travelers. Joining a group means accepting a shared travel rhythm.
Tipping is not mandatory, but highly appreciated by guides, porters, and local staff.
It supports their families and communities.
If an issue arises, notify your guide immediately so we can help resolve it on the spot.
Formal complaints must be submitted in writing within 7 days after your tour ends.
Supporting documentation (photos, witness statements) is recommended.
Invoices, receipts, or medical certificates can be provided upon request.
By booking with Sap Adventures, you understand that travel and adventure activities involve inherent risks, including:
Illness or injury
Altitude effects
Delays
Unpredictable weather
Remote locations
You accept these risks and release Sap Adventures, its staff, and partners from any liability, except in cases of proven negligence.
These Terms and Conditions are governed by the laws of the Republic of Peru.
Any legal dispute will be subject to the jurisdiction of the courts of Cusco, Peru.
By booking or paying for any service with Sap Adventures, you confirm that you have read, understood, and accepted these Terms and Conditions in full, and agree to comply with them during your entire travel experience.
